Overview of Individual Giving & Grants Associate

The Individual Giving & Grants Associate will raise funds for vital Corporation for Findlay Market (CFFM) programs and initiatives through donor prospect research, individual donor cultivation plans, major gifts, planned giving and foundation relations, and will assist with all fundraising events and campaigns at Findlay Market. They will maintain accurate records of all donations, grants and donor information in CFFM’s donor database, and will assist with grants research, applications and reporting. This position is primarily Monday through Friday, with occasional weekend and evening shifts to accommodate CFFM’s various onsite campaigns and fundraising events.

 

Individual Giving & Grants Associate Role Description

The Individual Giving & Grants Associate will help raise money for vital Findlay Market initiatives and programs, market events, and general operating expenses. They will report to the Fundraising Events Manager.

The Individual Giving & Grants Associate will manage the entire development cycle for a portfolio of individual donors, and will act as the project manager for the organization’s individual giving strategy. They will be responsible for maintaining accurate donor records in CFFM’s donor database, and for pulling appropriate reports to help cultivate donors and increase giving, as well as providing tax receipts and acknowledgement letters to all donors.

They will work cross-functionally with other teams to implement data tracking and collection processes for all CFFM programs. They will organize and gather data for grant applications and reports, CFFM’s annual report, fundraising campaigns and events, and upon request.

The Individual Giving & Grants Associate will work closely with the Director of Development & Strategic Growth to implement a transformational capital campaign; duties will include, but are not limited to, prospect research, donor outreach, creation of materials, donation tracking and acknowledgements. 

The Individual Giving & Grants Associate will work closely with the finance team to ensure all funds are tracked appropriately. They will also work closely with the communication team to help with crafting engaging calls to action, plan social media campaigns for fundraising events and initiatives, and to help engage, organize and recognize volunteers and donors.

The Individual Giving & Grants Associate will work to help create awareness among the general public that the Corporation for Findlay Market is a non-profit organization with many philanthropic endeavors through onsite fundraising campaigns, and by maintaining accurate records with Charity Navigator and GuideStar. 

 

The Individual Giving & Grants Associate will have the following detailed responsibilities:

Principal Duties & Responsibilities:

  • Donor Cultivation & Individual Giving
    • Process donations, send thank you letters and tax receipts, and ensure accurate upkeep of BetterUnite donor database
    • Create individual engagement plans, stewardship plans and giving goals for each donor based on giving history, relationship and the organization’s knowledge of the donor’s giving potential
    • Qualify, develop and maintain year-round relationships with a portfolio of individual donors and prospects
    • Act as the development team’s donor portfolio project manager
    • Assist with planning and execution of annual donor recognition events
    • Lead the planning and execution of Supporter Appreciation Month
    • Assist with planned giving inquiries and gifts
    • Assist with the creation and distribution of an annual giving report
    • Support Board giving through creation of annual Board pledge cards, donor cultivation plans, and more

 

  • Fundraising Campaigns
    • Manage Friends of Findlay Market membership program, including coordinating annual Membership Drive and member benefits, payment, and creating a plan for member recruitment and retention
    • Manage ongoing Fundraising Brick campaign, including promotion, ordering, installation and donor recognition
    • Incorporate peer-to-peer giving as appropriate to reach campaign goals
    • Help plan and execute Giving Tuesday campaign, including securing matching donors, and working with communication team to draft and post social media content and send donor emails, and more
    • Assist with planning and execution of all Spring & Winter Fund Drives, including compiling donor outreach lists, creating individualized asks based on giving history, relationship and giving potential, addressing and mailing physical mailers, recording all donations, sending thank you receipts, building online fundraising campaign landing pages, and additional tasks upon request
    • Assist with having a visible onsite fundraising presence to engage and educate shoppers
    • Assist with additional fundraising campaigns such as Valentine’s Cards, Opening Day raffle, etc. 

 

  • Fundraising Events
    • Assist with planning and execution of annual fundraising event, Flavor of Findlay, including full responsibility for the silent auction, registration and fundraising raffles and games
    • Assist with planning and execution of annual Christmas Tree Sale fundraiser, including onsite coordination
    • Assist with adding fundraising components to Findlay Market events
    • Assist with ideation, planning and execution of any additional fundraising events

 

  • Grants
    • Proactively research new grant opportunities and sources of funding
    • Help maintain grants calendar, and keep track of recurring annual grant application cycles
    • Support grant reporting and evaluation processes and deadlines
    • Compile necessary data, photos and anecdotes for all grant reports 
    • Work with program teams to implement data tracking and collection processes
    • Act as staff liaison with grant contractors to ensure they have all data and information necessary to draft grant applications and reports
    • Draft grant applications and reports as necessary

 

  • BetterUnite Donor Database
    • Act as the “BetterUnite Super User” – learn how to operate all facets of the database, including managing donor data and running reports
    • Be the most knowledgeable staff member who can educate and assist others with BetterUnite
    • Keep up with all BetterUnite updates and modifications, and implement any necessary changes 
    • Maintain accurate donor, sponsor and grant records in BetterUnite

 

  • Assist with fundraising efforts and campaigns, and maintain accurate records of funders and sponsors for CFFM’s programs, including:
    • Findlay Kitchen
    • Findlay Learn
    • Findlay Launch
    • Education Center
    • Shopping App

 

Secondary Duties & Responsibilities:

  • Capital Campaign
    • Maintain accurate records of CFFM’s capital campaign asks, pledges, and donations
    • Send appropriate acknowledgement letters and tax receipts to campaign donors
    • Support creation and distribution of capital campaign marketing materials
    • Assist with long-term engagement plan for new donors to campaign

 

  • Sponsorships & Corporate Partnerships 
    • Maintain accurate records of CFFM’s corporate partners in BetterUnite
    • Assist the Fundraising Events Manager with making sure corporate partners receive all stated benefits of their sponsorship

  • Education – Bachelor’s or Associate’s degree required
  • Experience – 2 years relevant non-profit work experience required
  • Computer and technical skills – proficiency in Microsoft Office applications and online platforms (e.g. Google apps, MailChimp) is required
  • Experience with donor cultivation and knowledge of moves management practices
  • Ability to transport oneself to work, and to travel throughout Cincinnati during the work day
