ANNUAL SALARY:             $72,000-$92,000

POSITION OVERVIEW:

The Program Administrator serves as a key operational and administrative partner to the Vice President and the PFCS management team, providing support for/across multiple security programs across the organization. This position combines program oversight, KPI management, and scheduling coordination with executive administrative support.

 

The Program Administrator ensures operational alignment, tracks performance across various programs, manages scheduling logistics for the entire company, and offers/provides structures support to improve communication, accountability, visibility, and efficiency within the company’s expanding portfolio of client accounts.

DUTIES & RESPONSIBILITIES:    

  • Assist in managing various security programs, including executive protection, residential security, corporate site protection, intelligence, surveillance, and more, ensuring consistent operations and compliance with company standards.
  • Monitor program performance against key performance indicators (KPIs) and provide updates and reports to the Vice President and leadership team.
  • Coordinate with program managers, supervisors, and field personnel to ensure alignment in staffing, scheduling, and client deliverables.
  • Support the onboarding of new programs, agents, and clients by ensuring all administrative preparations and documentation are completed.

 

  • Serve as the primary corporate scheduling point of contact for all Safeguards Protection Programs.
  • Maintain centralized visibility into all active, planned, and open posts across client sites.
  • Coordinate with site managers, operations leaders, and QRT members to close coverage gaps in real-time.
  • Support short-term shift fulfillment during callouts, emergent needs, or unforeseen events.
  • Ensure real-time accuracy of scheduling platforms and updates across internal systems.
  • Maintain and optimize processes to improve shift forecasting, schedule stability, and personnel deployment

 

  • Develop and track/maintain real-time dashboards and scorecards for coverage rates, dark post incidents, and response times.
  • Generate weekly and monthly reports summarizing trends by region, account, and team performance.
  • Identify recurring dark post issues and recommend actionable changes/solutions to minimize risk.
  • Maintain clear documentation on fulfillment rates for key clients and strategic accounts.
  • Collaborate with Finance and Operations to ensure KPI reports align with contract compliance and service level agreement (SLA) benchmarks.
  • Communicating regularly with leadership, regional managers, and accounting leads to maintaining awareness of resourcing issues.
  • Support onboarding and training of scheduling personnel and site supervisors on standardized protocols.
  • Conduct after-action reviews following significant service failures or unfilled shifts.
  • Provide clear data-driven insights and recommendations to inform leadership planning.
  • Support strategic workforce planning initiatives based on trend analysis.
  • Support PFCS VP by managing calendars, handling follow-ups, and coordinating key communications.
  • Draft, edit, and prepare presentations, reports, and policy documents for leadership and client meetings.
  • Assist with cross-departmental initiatives, workshops, and special projects as directed by the VP.
  • Conduct research, compile data, and provide briefings on industry trends, compliance requirements, and program updates.

MINIMUM QUALIFICATIONS

  • 5+ years of experience in scheduling, workforce coordination, and/or operations analysis.
  • Proven experience with security, fields services, or high-volume scheduling operations
  • Strong analytics skills with experience building/developing dashboards and performance reports
  • Excellent communication skills-written, verbal, and interpersonal
  • Familiarity/Proficiency with workforce scheduling systems and platforms
  • Ability to thrive in high-pressure, time-sensitive environments
  • Must maintain strict client confidentiality and professionalism due to the nature of PFC’s business

  • Office environment may include ascending/descending up to two flights of stairs
