Description

SUMMARY:

The Enterprise Application Systems Manager is responsible for the effective management and functionality of Operations-related systems and project management. The Enterprise Application Systems Manager is also responsible for the supervision of assigned support staff, ensuring effective use and function of applicable systems, as well as excellent customer service.

 

ESSENTIAL FUNCTIONS:

  • Advanced understanding of agency operations with emphasis on front office day-to-day key processes, quality standards in reporting and processes, and how that impacts the back office (accounting, data & IT, production, etc.)
  • Database and Server Management, including, but not limited to, coordination of server activities, restoring back-ups, replication monitoring, updates/installations/imports, job monitoring, and coordination of support for the following systems:
    • Epic Server Management
    • Management of Epic Sandbox Environments
    • Epic BDE
    • SDK Tools: Journal Entry import, Client Import, Transactions Import tools, third-party integrations
    • CSR24/7
  • Responsible for Applied Epic System Administration including, but not limited to, the following areas:
  • Downloads – ensure accurate operations and guide on difficult issues
  • Accounting Support - Maintain user security for bank accounts, design check layouts, user issues with general ledger, and contacting Applied Support if needed
  • Applied Mobile – Maintain licensing and provide user support such as issues with logging on or unable to locate clients
  • Configurations – Develop and implement non-routine configurations
  • Internal Audit – Work with internal auditors, providing reports and responding to security/access and policy and client inquiries
  • Reporting – Designing, implementing, and scheduling ad hoc reporting
  • Support – Provide user support for difficult or escalated issues
  • Template management, creation, implementation
  • Provide data response for Operations-related programs including, but not limited to, Power BI, Agency KPI, Assurex, carrier loss data, benchmarking obligations, and projects
  • Provide system integration support as needed
  • Responsible for the development and direction of assigned department staff, including coaching, ongoing training, performance feedback, ensuring the accurate communication of job expectations, planning/monitoring/review of job contributions
  • Participate in position-appropriate seminars and other training to maintain and develop knowledge and skills (such as Applied user learning opportunities)

Qualifications

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Communication Skills: Excellent verbal and written communication skills, with the ability to explain solutions clearly and interact effectively with colleagues, managers, and customers

  • Technical Proficiency: Mastery level PC skills, particularly in Microsoft Office (Excel, Word, Outlook, Teams), and ability to effectively use agency management systems (e.g., Applied Epic).  Demonstrated knowledge of Epic (AMS) and related programs (CSR24, Indio, Epic Quotes/Ezlynx, Applied Mobile)
  • Business Proficiency: Thorough understanding of agency operations, agency roles, and other agency management systems; ability to successfully adhere to company policies and procedures, as well as maintain strict confidentiality
  • Adaptability and Flexibility: Ability to work in a fast-paced, dynamic environment with shifting priorities, and flexibility to work varied shifts as needed
  • Self-Motivation and Initiative: Self-starter with strong organizational skills, capable of managing multiple complex projects, and working independently with minimal supervision
  • Leadership and Staff Development: Ability to maximize team performance by setting clear expectations, providing coaching and support, and ensuring adherence to policies and standards
  • Attendance and Punctuality: Regular and punctual attendance is required; access to INSURICA’s corporate headquarters in Oklahoma City, OK or one of our branch locations is preferred

 

QUALIFICATIONS:

  • 3 –5 years of previous agency operations experience preferred
  • 2 –4 years of general Information Technology experience preferred
  • 2 –4 Years of previous supervisory experience preferred
  • Bachelor’s degree, or equivalent education and/or experience preferred
  • One or more certifications related to database administration, report generation, or business applications preferred

 

WORKING CONDITIONS AND REASONABLE ACCOMMODATIONS:

  • Fast-paced, multi-tasking, office environment with periodic high disruption and changing priorities
  • Ability to perform approximately 80% sedentary work, exerting up to 10 pounds of force occasionally, and negligible force frequently
  • Ability to lift up to 20 pounds occasionally
  • Requires operation of a computer workstation, including keyboard and video display
