POSITION SUMMARY:

This position supports the work of the YMCA of the Rockies, which operates a mission-based family and group conference and retreat center and a residential camp, serving more 225,000 people annually. The Human Resources Administrator will assess staffing needs, screen applicants, manage background checks, coordinate onboarding, and ensure compliance with regulatory requirements for all staff. Additionally, this role will organize training sessions, maintain accurate personnel files, coordinate staff engagement activities, and support both international and volunteer programs. This position requires strong confidentiality, organization, and adaptability to promote a positive and cohesive work environment across all departments.

ESSENTIAL FUNCTIONS:

  • Manage onboarding and ensure timely processing and completion of required certifications and documents including tracking and uploading them into individual personnel files.
  • Assist in organizing and presenting new staff orientations, ensuring all new hires receive an introduction to the organization’s mission, policies, and procedures.
  • Provide support to the Human Resources leadership team and department managers on Human Resources-related matters, including, not limited to investigations, disciplinary actions, and general inquiries, while maintaining strict confidentiality.
  • Support the development and adherence to training plans for international trainees or interns within the Human Resources Office.
  • Coordinate and track background checks, ensuring timely processing and compliance with state for onboarding staff and Camp Chief Ouray program guidelines.
  • Assist in training Human Resources staff, including volunteers and interns, ensuring they are prepared to fulfill their roles.
  • Perform general office functions, such as managing phones, emails, and voicemail, and support a busy office environment by completing tasks amid frequent interruptions.
  • Protect confidential information, demonstrate a high level of organization, and work independently with minimal supervision.
  • Demonstrate fluency in English (reading, writing, and speaking).
  • Maintain accurate and organized personnel files, ensuring compliance with all regulatory requirements.
  • Prepare agendas, meeting minutes, PowerPoint presentations, and other materials for Human Resources meetings and training sessions.
  • Respond to inquiries from government, regulatory agencies, and visitors in a professional and timely manner.
  • Collaborate with Resident Life Manager for event coordination, including social and engagement activities for staff to foster a positive workplace culture and support mission-based programming.
  • Assist Resident Life Manager with housing management support, conflict resolution, and process housing-related Personnel Action Forms.
  • Oversee the process of international staff receiving their social security cards and assist with other documentation needs. Support international program activities as needed.
  • Coordinate vehicle training, drug, finger printing and alcohol testing, ensuring compliance and maintaining confidential records.

REQUIREMENTS/QUALIFICATIONS:

  • Minimum 1 year of experience in Human Resources.
  • Minimum of 2 year degree, but not required
  • Proven ability to communicate effectively with all levels and stakeholders.
  • Must be extremely organized with an impeccable attention to detail.
  • Excellent keyboard, data entry and outstanding telephone etiquette.
  • Good interpersonal, teaching and training skills.
  • Proficient in Microsoft Office Suite (Word, Excel, Teams, Outlook) and basic computer skills essential for employee records maintenance and general Human Resources correspondence.
  • Must be able to lift and carry up to 25 pounds.
  • Knowledge of Colorado Childcare licensing hiring requirements a plus but not required.
