POSITION SUMMARY

 

The Manager, Accounts Payable is responsible for overseeing the AP functions, ensuring efficient, accurate, and timely processing of all financial transactions. This role will manage a small, dedicated team of AP staff, maintain positive relationships with Vendors, Brokers, Carrier and Clients while ensuring compliance with the company policies. The AP Manger plays a key role in cash flow management, supporting month-end and year-end closing processes, and providing detailed financial reporting as needed.

 

ESSENTIAL FUNCTIONS

  • Deep understanding of accounting principles to ensure the accuracy and efficiency of financial operations while managing the full AP cycle.
  • Accuracy and Compliance: Guaranteeing the accuracy of invoice processing and payments, adhering to company policies, internal controls, and relevant accounting standards (e.g., GAAP)
  • Managing the full accounts payable cycle: including receiving, verifying, and coding vendor invoices, processing payments (checks, ACH, wire transfers, etc.), and reconciling vendor statements
  • Vendor and internal relationship management: Developing and maintaining positive relationships with vendors, addressing inquiries, resolving discrepancies, and collaborating with internal departments to ensure seamless financial workflows.
  • Process improvement and automation: Identifying opportunities to streamline AP processes, implement controls, strengthen automation, and optimize workflows for efficiency and cost reduction.
  • Month-end and year-end close activities: Supporting and managing month-end and year-end close processes, including accruals, journal entries, account reconciliations, and audit preparation.
  • Financial analysis and reporting: Preparing and analyzing AP-related reports and data (e.g., AP aging, payment trends, expense analysis) to support management decision-making.
  • Cash Flow Management: Monitor and report on cash, ensuring collection of receivables with timely and accurate payment of passthrough vendor payables.
  • Regularly Review and Analyze AP Performance Data: Develop and implement strategies to strengthen and define KPIs.
  • Audit Support: Provide necessary documentation and support during internal and external audits.
  • Lead, coach, motivate and develop. Responsible for one-on-one meetings, performance appraisals, growth opportunities and attracting new talent.
  • Clearly communicate expectations, provide employees with the training, resources, and information needed to succeed.
  • Actively engage, coach, counsel and provide timely, and constructive performance feedback.
  • Performs other related duties as assigned.

 

EDUCATION

  • Bachelor’s degree or related experience preferred.
